- Pre-event outbound is the practice of contacting prospects and target accounts before a conference — while their attention is on the event and their calendar still has open slots. The goal is to book meetings at the event, not just hope for booth traffic. Pre-event emails referencing specific session attendance or mutual connections see reply rates of 20–40%, compared to 1–3% for cold outbound. The window is short (2–3 weeks before the event) and time-sensitive: once the event starts, attention shifts from 'preparing' to 'navigating.'
Why it matters
Pre-event outbound is the highest-leverage field marketing activity because it is timing-perfect (the prospect is already thinking about the event) and context-rich (you know why they are going). Teams that do pre-event outbound book 3–5× more meetings at events than teams that only work the booth. The constraint is having the attendee list early enough to build the campaign.
