Reply rate

Outbound & Outreach
Definition
Reply rate measures the percentage of outbound emails that generate a human reply from the recipient. It is the primary efficiency metric for SDR teams because it directly tracks whether messaging is landing — not just being delivered or opened. Industry benchmarks: cold outbound reply rates average 1–3%, warm outbound 15–30%, and event-triggered outreach 20–40%. Reply rate is a leading indicator: when it drops, pipeline will drop in 4–6 weeks; when it climbs, conversion is coming.

Why it matters

Reply rate is the single metric that connects outbound activity to pipeline. It separates the teams that are shouting into the void from the teams that are starting conversations. Improving reply rate by 5 points can double the pipeline from the same headcount. The two levers: list quality (is this the right person?) and message quality (is this the right message?).

Example

An SDR team tracks reply rates across three outbound segments: cold (500 emails, 12 replies, 2.4% rate), warm — intent data (200 emails, 36 replies, 18% rate), warm — conference attendees (150 emails, 42 replies, 28% rate). The data tells the team to shift more volume to the conference attendee segment, which yields 10× the reply rate of cold at under 3× the list cost.

How Impossible Data helps

Conference attendee data improves list quality at the top of the funnel. Impossible Data customers consistently see 3–5× higher reply rates on event-triggered outbound versus their cold baseline.
